Proctorio
With the coordination of program offices, ITG, and teaching teams across all programs, recent iterations of processes implemented to counteract concerns related to exam-integrity have seen great improvement in both faculty and student experiences. Proctorio remains a requirement in Core exams within the MBA and EMBA programs but is optional (but recommended) for elective courses. Proctorio is a remote proctoring service licensed by Columbia University. At Columbia Business School, the data stored in Proctorio will not be used to initiate academic integrity investigations but may be reviewed if prompted by another concern. During an exam, Proctorio may be used to collect student activity in four ways: 1) Video Recording, 2) Audio Recording, 3) Recording user’s computer screen, and 4) Recording user’s web traffic. The software also flags anomalies, such as possible poor internet or device performance. The default Proctorio settings for CBS exams are:
- Record user’s computer screen
- Record user’s web traffic
- Only one screen*
Video and audio recording are disabled by default. Professors are still permitted to record students’ video and audio during the exam, but if they decide to do so, it's recommended that the professor inform their students before the exam that Proctorio will record video and/or audio.
*Unless explicitly stated by the professor, students are not permitted to use multiple devices or monitors/screens for a final exam which uses Proctorio. Proctorio does not work with multiple screens nor with tablets and phones.
Proctorio requires that students:
- Install the Proctorio Chrome web browser extension
- Access the Canvas quiz via the Chrome web browser
Note: Proctorio offers extensions for other web browsers (e.g., Microsoft Edge, Opera, and Brave). However, ITG strongly recommends that Chrome be used for Canvas quizzes that use Proctorio. In rare circumstances when Chrome is not an option, the student may try using a different browser (be sure to download the Proctorio extension for that browser).
In addition, if a quiz requires accessing files stored in Google Drive, students may need to log into their Columbia Google account (email address is [email protected]) and not a personal Gmail account, to access the files. Before starting a quiz, students should make sure their computer is 1) connected to power, and 2) maintains a stable internet connection.
It is strongly recommended that at least 48 hours before the exam, students complete a Proctorio Test Exam to identify and correct any potential technical issues. The Proctorio Test Exam should be located in the Quizzes tab of the course and in the "Academic Resources" or "Pre-MBA" or "Pre-EMBA" Canvas courses, which new students are enrolled in during orientation.
Technical Issues & Support:
Troubleshooting Steps
Students do not need to enter an Access Code. If you have technical difficulties while taking a proctored exam (including encountering an Access Code message), try the following steps:
- Check browser: Make sure you use Chrome with the Proctorio browser extension for Chrome. In rare circumstances when Chrome is not an option, try using a different browser (be sure to download the Proctorio extension for that browser).
- Check browser version: If your browser version is not up-to-date, select the option to update it. You may need to reinstall the Proctorio extension before you go back to Canvas, log in again, and try accessing the exam.
- Logout/login: Log out of Canvas and close all browser windows; then open your browser again, navigate to CBS Canvas, log in again, and try accessing the exam.
- Clear cache and cookies: Log out of Canvas and close all browser windows; follow these instructions for your instructions for your Mac/instructions for your PC. After doing so, return to Canvas, log in again, and try accessing the exam.
- Disable all other extensions: Click the three dots in the top right corner of your Chrome browser -> More Tools -> Extensions
- More detailed troubleshooting.
If a student is locked out of the exam after timing out or the computer went to sleep: Canvas and the University’s web login technology (Single Sign-On) are set up to allow you to focus on your exam for several hours without being logged out. If for some reason your exam session loses connection or you are logged out, you may log back in. If you have trouble logging in again, try restarting your browser or the troubleshooting steps listed above.
